Job Summary :
The Tender Administrator is responsible for the compilation of tender documents (i.e. ability to draft plans, policies, procedures) and ensure that all mandatory documents are submitted by the specified deadline. This role involves to assist in the tender process from the pre‐qualification stage through to the final bid submission, award of contract and engagement close out, to collate and check documentation within the tendering and contract process and ensure that all queries are dealt with in a timely manner.

Responsibilities of a Tendering Administrator
Tendering administrator must perform the following tasks and responsibilities:
- Assist in the preparation of tender documents, standard tender templates and documents.
- Prepare tender procedures, cash flows and schedules.
- Oversee the editing and drafting of high quality bids, proposals, and bid responses to ensure bids and tenders are processed professionally, expeditiously, and compliantly.
- Maintain a list of qualified vendors especially for future offers.
- Edit various entries to create more competitive bidding documents.
- Monitoring the deadline
- Continuous communication with user departments regarding criteria and proposal status.
- Communicate with subcontractors as necessary during the bidding process, including technical specifications, company details and work experiences, ,confirmations of interest, etc.
- Develop and maintain internal procurement documents for the bidding process, including tracking management approvals for bids and contract actions.
- Manage the proposal files and organize the archive after the proposal is finished.
- Prepare regular bid status reports and schedules as required.: Bid Submission date, Bid Opening date, etc...
- To manage and integrate all relevant departmental efforts related to bidding/tendering and contract review activities. To coordinate, prepare and collect bid submission materials for bidding/tendering activities, tender questionnaires and pre-qualification.
- Assist the business department in building good relationships with existing and potential employees/customers by coordinating customer tender requirements across departments such as Planning, QHSE.
- To collect and compile all questions and requests for additional information to contact client/customers.
- To ensure strict adherence to proposal submission deadlines, including review, binding, packaging and preparation of submitted documents.
- To ensure that the format, fonts, logos and other proposed elements provided are standard and meet the client’s tender requirements.
Qualifications :
- Experience: Proven experience as a Tender Administrator or in a similar role; 3-5 years.

- Ability to work quickly, accurately and quietly under pressure

- Excellent communication abilities
- Proficiency in Word, Excel and PowerPoint
